For every guest on your reservation, you'll need to complete 7 sections of information. All 7 are required — none are optional. The dialogue you open from "Complete your reservation" walks you through them in order, and you can switch between guests at any time.
What information do I need to gather before I start?
For every guest on the reservation, you'll need:
- Personal info — name, email, phone, date of birth, t-shirt size, any dietary restrictions
- Mailing address (matching the address on their travel documents)
- Passport details — number, issuing country, nationality, expiration date
- Arrival flight details (every segment)
- Transfer In — how they're getting from the airport to the resort
- Transfer Out — how they're getting from the resort back to the airport
- Departure flight details (every segment)
Having this info gathered before you start makes filling it in much faster.
Do I have to complete all 7 sections for every guest?
Yes. All 7 sections are required for every guest on the reservation. None of them are optional.
What do the colored pills on each guest card mean?
Each pill represents one of the 7 sections. The color tells you the status:
- Blue with a checkmark — section is complete.
- Peach with a triangle — section needs attention (information was started but isn't fully captured).
- Gray with a dash — section hasn't been started yet.
Can I switch between guests inside the dialogue?
Yes — there's a tab at the top of the dialogue for each guest on the reservation. Click any guest's tab to jump to their info. Saved work is preserved per guest, so you can hop back and forth without losing anything.
Why are some fields already filled in for me?
If you (the Buyer) are also a guest on the trip, the Personal Info step auto-fills with what we already have on file — your name, email, phone, date of birth, and t-shirt size if you gave it at booking. You can edit any of it if needed. Other steps (Address, Passport, etc.) start blank — auto-fill only applies to Step 1.
What's the difference between the "Check in" dates on the Room card and the "Arrival" section for each guest?
They're different things:
- Check in / Check out on the Room card → the dates of your resort stay (when your room is reserved). Read-only.
- Arrival Flights / Departure Flights in the per-guest sections → details about each guest's flights and travel. You enter and edit these yourself.
What happens if I don't complete everything?
Your reservation isn't fully ready for travel. The Getaways team will email you reminders as deadlines approach.
Before you dive in, the next article covers something everyone trips on at first: how saving works. The buttons at the bottom of each step behave differently than you'd expect.
